The
TT 550 – Compu clock uses the “Touch
& Go” tag and you must have two
reader heads, (One for IN & one for
OUT.) The keypad is used to key-in the Job
Number when you clock on a Job and when
clocking OFF the Job you use the keypad
to say WHY you are clocking off. I.e. Job
complete // Waiting for spares // Machine
Breakdown. Etc. Each employee is issued
with TWO credit size card cards. One GREEN
the other RED. The GREEN card is used for
Time & Attendance. The RED card is used
to clock ON or OFF jobs. (Job card)
Attendance
ON/OFF
When the employee touches their GREEN TIME
tag against the clock, the Date & Time
displayed screen changes to show “Accepted”
and the times written to the “Employee’s”
data file. The clock will also “Beep”
and the green LED lights up, to show the
clocking has been saved. The PC does not
need to be switched on as the Compu Clock
is independent and up to 3 000 clockings
can be saved.
Why
do we need TWO cards? – Good question.
Not everyone clocks on Jobs! These are two
totally different functions. But we need
to monitor everyone for Attendance (time
spent at work) and then we need to monitor
the time spent on Jobs. You can have different
employees clocking on the SAME job at the
same time, we need to record which employee
clocked on what Job.

ADD
A JOB. (* NB - Only 90 Jobs can be OPEN
at any one time.)
Go to SETUP – TT550 Job Codes. There
is a list of available jobs 01 - 90
Your Job number J6342 - Hy-Pump32 - for
SAA Airways = our index number #25
This allows you to look up YOUR long name
for a report (J6342).
When you close the Job J6342 you can re-use
the short name again (25)
A report with all the TOTAL HOURS spent
on the Job is recorded, and WHO spent time
on that Job.
Take you existing JOB CARD – i.e.
J6342 and write a BIG “25” on
it (#25 is married to your J6342)
Clock
ON a Job - 2 steps
• Employee takes the RED Job card,
enters the JOB he is working on i.e.“25”
• Touch the RED card on the “IN”
reader.
•
That’s as easy as it gets. John is
now working on job “25” (your
JOB J6342)
• NB – We did this to keep the
system a SIMPLE as possible. How can you
mess up entering 2 digits! 25 + Red card
Remember the principal of. . . . . K.I.S.S.
The
employee cannot beat the system. They have
to account for there time no matter what.
Clock
OFF Job - 2 simple steps
Employee takes his RED Job card, enters
the Reason why he is clocking OFF i.e. “99”
Touch the RED card on the “OUT”
reader. That’s it, done finished…
You
have 20 reasons, but here is what comes
with the system. WHY did they clock OFF
the Job.

This is printed, laminated and nailed to
the wall next to the OFF side of the clock.
After 6 weeks they will know the codes,
but leave it there anyway for the new guys.
Overview
So, on the Shop floor, we now know that
John clocked ON job “25” @ 07.15
and clocked OFF the job @ 18.15 and the
reason? “99” – Job complete.
What
does the PC know! John clocked onto job
J6342 at 07.15 and Job Completed (code 99)
at 18.15 TurboTime calculates that he has
worked 9 hours of Normal time, less lunch,
plus Overtime on that Job.
What
is positive?
• Firstly, and most importantly, it
is easy for an illiterate worker to use.
• Measures Job Time. – Total
Time spent on each Job.
• Measures Employee Time. Time spent
working on different Jobs - Daily.
• Different employees can clock onto
the same Job, at the same time.
• Measure how long it takes to complete
a Job! (Start to Finnish)
• Calculate the total time & manpower
it took for that Job.
• Shows all the ON & OFF times
clocked for each Job.
• We calculate the Attendance (time
spent on site)
• Shows why clocked OFF what job i.e.
waiting for parts, breakdown, or completed.
• Keeps the Job information after
the Job is complete. Your Job number AC63452
• This frees up number 25 to be used
again on the next job your Job number AC99850
• You can now use this as a yard stick
against the time spent on Jobs. I.e. spent
27.5 hours on the job, but only allowed
15.00 hours to complete Job AC63452?
• You will lose a lot of money fast,
by quoting on Jobs like this!
• Unfortunately, the opposite is also
true. If you over quote you lose potential
orders.
• At least with this TurboTime –
Job Timing, you now have a measuring tool.
• You can find the “sweet spot”
and the jobs that are profitable to you
& your business.
If you do not run your JOB reports
Daily, you will be wasting your money!
What
else could be negative about the system?
•
You must run reports daily to see who never
clocked off a job yesterday, etc.
• You can have as many saved Jobs
as you want. BUT NOT more than 99 “OPEN”
at any given time.
Your
old Job 6342 info is automatically saved
once you close the Job.
We know from hard learnt experience that
the more key codes we allow the “workers”
to key in! The more the chances they have
to key in the wrong codes!
The 2 digit code is easy to key in. You
and the PC know that the 25 is equal to
job6342 and you still use the Job card that
you have always had. (Just with a big 25
written on :-)
That is as close as we can get to make the
system idiot proof.
At
least this system gives you a lot of feedback
and you can now measure how much time is
allocated to any Job and how long it actually
took. Also the time wasted by employees
booking time to “Waiting for instructions”
YOU ARE PAYING FOR THEIR TIME WHILST THEY
WAIT FOR INSTRUCTIONS.
Remember to add: - “Waiting for instructions”
If
they book to much time to the job, you will
pick this up against the time allocated
to the job when you quoted. Then question
why? – Machine problem? People problem
or did you simply under-quote? Whatever
the answer you now for the FIRST TIME have
a total amount of HOURS it took to complete
each JOB - AND - You now can measure the
hours the employee “WORKED.”
The
TT550J Job clock TCP IP reader available
soon.
There
are a number of options to get the data
from the clock to the PC, as this clock
works with:-
(A)
Cable, i.e. run cabling from the clock to
the PC. If the clock is not near the PC
then you can use
(B)
Data Shuttle (No cabling at all). The data
shuttle is the size of a small cell phone
and plugs into the bottom of the clock.
It then automatically transfers the data
from the clock to the data shuttle. Remove
the data shuttle. Plug it into the docking
station located next to the PC. Click on
the transfer Icon and the data is sent to
the PC. Nice and easy. No cabling required
for this option.
(C)
Modem. If the clock is far away, then you
can connect a modem to the clock and you
can phone the clock (obviously it needs
a phone line) the clock will answer the
call after “X” rings, i.e. 10
rings and then the data is transferred from
the remote clock to your PC. How is that
for easy!
(D)
A number of these clocks can be linked together
(daisy chain), These clocks will then send
the data on a “Live” basis,
and should the PC be off!, remember that
each clock always stores the last 3000 clockings
at any given time. In the unlikely event
that the PC is stolen / hard drive crash,
then you can install a new PC and have the
ability to recover the last 3000 clockings
from each of the Clocks.
This
versatile time clock has many other features
that are not mentioned herein such as unlocking
a door, releasing a turnstile in different
direction and even ringing a siren with
warning signal to tell employees that Teatime
is nearly over and then ring a different
duration to inform them that the shift has
started.
